PROCEDURES

OCLC_LHM_Instructions.doc
Use this step-by-step guide to create, edit, and delete local holdings records for your library’s serials in OCLC WorldCat. Includes a table of contents and screen shots. (Updated July 23, 2010)

Using_FirstSearch_to_Obtain_Serial_Titles.doc
Use OCLC FirstSearch to pull up a list of serial titles held by your library. These instructions include a table of contents and screen shots.
Important Note: To request an article from a periodical held by an ALS member library, please use FirstSearch to locate those libraries that hold the title and specific issue you need. Paper volumes of the ALSPUL union list holdings are no longer distributed to ALS member libraries, and the ALSPUL database is no longer maintained. (Updated July 23, 2010)

PERIODICALS FORMS

If you would like Erica at ALS / RSA to perform local holdings maintenance for your library’s serials, please use one of these two forms:

LHM_Additions_Form.doc
Use this form to add holdings for a new serials title (i.e., a title not already held by your library).

LHM_Changes__Deletions_Form.doc
Use this form if you would like to edit or delete serials holdings currently held by your library.

Three ways to submit completed periodicals form(s) to Erica at ALS / RSA:

  • Email to elaughlin@alliancelibrarysystem.com
  • Fax to 309-694-9230. Please write “Erica” at the top of the form or on the fax cover sheet.
  • Send the form through ALS delivery. Please write “Erica” on the interlibrary loan envelope.

Please be aware that Erica at ALS / RSA will use the Alliance Library System’s Cataloging Agent authorization to update an ALS member library’s local holdings records in OCLC.

  • When Erica is logged in to OCLC Connexion Browser as the ALS Cataloging Agent, the usage statistics reflect the library whose records she is updating.
  • In other words, if a member library asks Erica to perform local holdings maintenance for their periodicals, any changes Erica makes for that library while logged in as the Cataloging Agent will be counted toward the member library’s OCLC usage, not that of ALS.

Local Holdings Maintenance Workshops

Check the Library Learning (L2) calendar frequently for local holdings maintenance workshops offered in-person at the Alliance Library System and online through the Illinois State Library. To view the L2 calendar, go to https://www.librarylearning.info/

Be sure to register on L2 if you plan to attend a workshop, either at ALS or online through the State Library.

Note: Your library must be a member of the Illinois OCLC User’s Group (IOUG) in order for you to attend ILLINET / OCLC workshops offered by the State Library free-of-charge. The membership form for the IOUG is available at http://www.ioug.info/FY10MembershipForm.pdf
